How to Review a New Reservation for Your Property

A short check you can run on every booking confirmation, so mistakes are caught before the guest arrives.

LandlordsUpdated 23 September 2026

Every time a reservation is made for your property, you receive a confirmation. Read it the same day. It is much easier to fix a wrong date, a wrong unit or a wrong guest count before the guest travels than after they arrive.

Run this check on each booking

  1. Open the reservation confirmation as soon as it reaches you.
  2. Check the property name and unit number. Make sure the booking is for your unit and not a similar one in the same building.
  3. Check the check-in date and the check-out date.
  4. Check the number of guests against the occupancy limit for your unit.
  5. Check the rate and any fees shown against what you agreed for that period.
  6. Check the dates against anything you have already blocked, such as an owner stay or planned maintenance.
  7. If anything does not match, reply in writing and describe the mismatch. Do not wait for the arrival date.
  8. Save the confirmation with your other records for the property.

If you spot a clash

Report the clash straight away and say which detail is wrong and what it should be. Keep the original confirmation, so there is a record of what was first sent to you.

This article covers checking the confirmation only. For cancellation terms, changes to a confirmed booking and payment timing, read your own management agreement or ask your Deluxe Holiday Homes contact.
