Visiting your property and arranging third-party viewings

While your property is under our management, all access — including your own visits and any sales or leasing viewings — must be scheduled in writing through us, and third-party agent viewings require a signed form, a valid RERA Broker Card and a AED 150 coordination fee.

Do

  • Book every visit in writing, even a short one.
  • Check the Landlord Portal calendar first — we cannot open an occupied unit for you.
  • Allow the Guest Relations Officer to accompany you throughout.

Don’t

  • Do not use your own keys, fobs or an access code to enter the unit.
  • Do not ask building security or the concierge to let you in.
  • Do not arrive unannounced and expect access on the day.

Your property remains your asset. However, from the moment it is registered under a Holiday Home Permit issued by the Department of Economy and Tourism — DET (formerly DTCM) — and placed under our Vacation Rentals Management agreement, we become the licensed Operator responsible for the unit, its inventory and the safety and privacy of everyone inside it. That responsibility is legal, not commercial, and it is why access cannot be arranged informally.

The rule in one line

No one enters the property — including you, your agent, a prospective buyer or a prospective tenant — without a written appointment arranged through Deluxe Holiday Homes in advance.

Why access is controlled

  • We are accountable for the inventory and condition of the unit. Unrecorded entries make it impossible to establish who caused a loss or damage.
  • The unit may be occupied. A guest's privacy and safety are protected under Article 14(20) and Article 14(22)–(23) of Administrative Resolution No. (1) of 2020, which oblige us to maintain a safe environment and to safeguard guest information.
  • DET (formerly DTCM) Holiday Homes Guide 2024, Section 3.1, states that the unit owner cannot use the Holiday Home during the permit period unless previously agreed with the licensee.
  • Building management and security must be able to verify that anyone entering is authorised. Administrative Resolution No. (1) of 2020, Article 17 and Section 5.5 of the DET Guide require buildings to grant the Licensee unobstructed access — that access route runs through us, not around us.

Visiting your own property

You may visit whenever the unit is vacant. Occupancy is visible to you at any time in the Landlord Portal, so you can identify a free window before you request a date.

  1. Check the availability calendar in the Landlord Portal to confirm the property is vacant on your preferred date.
  2. Submit your request through the form on Landlord Portal > Help & Contacts, or contact us on +971 (4) 392-0202 (phone/WhatsApp) or info@deluxehomes.com.
  3. Wait for our written confirmation of the date and time.
  4. Meet our Guest Relations Officer in the building lobby at the confirmed time. The officer will escort you to the unit and remain for the duration of the visit.
Exception. If you intend to stay in the property yourself rather than simply inspect it, that is an owner stay, not a visit. Owner stays must be blocked in advance and a cleaning fee applies — the current amount is published in the owner portal.

Sales and leasing viewings by third parties

While the property is under active management, you and your appointed broker cannot arrange viewings directly. Every viewing is scheduled and attended by us.

To request a viewing, a formal Viewing Request Form must be submitted through PandaDoc with the following attached:

  • Copy of the agent's Emirates ID
  • Copy of the agent's valid RERA Broker Card
  • Preferred date and time, submitted a minimum of 24 hours in advance
  • Your signature on the Viewing Request Form

Why the signed form and the RERA card are non-negotiable

The RERA Broker Card is issued by the Dubai Land Department under RERA Law No. 85 of 2006 and its Bylaw, Article 2 of which prohibits any individual from practising brokerage activity without a valid card. It confirms the agent is licensed, attached to a registered brokerage firm, and covered by compliance and liability frameworks.

Allowing an unverified agent into your unit exposes you to:

  • Unauthorised access to the property
  • Fraudulent representation of you as owner
  • Undisclosed filming, promotion or use of property data
  • Risk to guest privacy or safety if the unit was wrongly assumed vacant

The signed form gives us a recorded chain of accountability if damage, a dispute or an access abuse occurs, and lets us coordinate correctly with building security and DET (formerly DTCM) approved operations.

Viewing fee

ScenarioFee per viewing
Viewing by a third-party agent you appointedAED 150
Property listed for sale with Deluxe Homes Real Estate Brokers LLCNo fee

The AED 150 covers the assignment of a Guest Relations Officer and a Viewing Coordinator for the appointment. It is deducted automatically from your next monthly payout.

Exception. The fee is waived only if you list the property for sale with our sister company, Deluxe Homes Real Estate Brokers LLC. In that case our in-house licensed agents handle the sale and coordinate viewings internally, including when the property is shown to cooperating third-party brokers. The waiver does not apply if you independently appoint an external broker, or if a third-party broker initiates the viewing directly without going through our sales team.

Self-access is prohibited

There is no scenario in which an agent, buyer, tenant or contractor collects a key and enters alone. Every entry must be authorised, scheduled and attended by a company representative. This protects security, guest privacy and the integrity of the inventory.

If a viewing or entry is attempted without prior approval, we will refuse entry, notify building management and formally record the incident. Unauthorised access breaches your management agreement, may trigger suspension of your Holiday Home Permit by DET (formerly DTCM), and places our operating licence at risk.
