Referring a property owner to our management service

How brokers, consultants and referral partners introduce a property owner to Deluxe Holiday Homes, what we need to qualify the lead, and when the introduction fee is earned.

Do

  • Confirm the owner is the legal owner or holds written authority to appoint a manager.
  • Tell the owner you are passing their details to Deluxe Holiday Homes and get their consent to be contacted.
  • Check the unit is vacant, or note the date it becomes vacant.
  • Send the introduction to us before the owner contacts us directly through any other channel.
  • Route all questions about a live introduction through partners@deluxehomes.com so they stay on the record.
  • Tell us immediately if the owner's circumstances change — sale, new tenancy, or a decision to self-manage.
  • Keep owner data you send us limited to what is needed for the introduction.

Don’t

  • Do not submit owners who are already in discussion with us or already have a unit under our management.
  • Do not quote returns, occupancy rates, commission splits or payout figures on our behalf.
  • Do not promise the owner that we will take the unit — that decision follows our assessment.
  • Do not share owner contact details with us without their consent.
  • Do not contact the owner on our behalf after handover to negotiate terms.
  • Do not present yourself as an employee, agent or representative of Deluxe Holiday Homes.
  • Do not use our name, logo or property imagery in your own marketing without written approval.

This article is for real-estate brokers, property consultants and other landlord-side partners who introduce property owners to our holiday-home management service. It covers what you send us, how we qualify the lead, and the conditions that must be met before an introduction fee is earned and paid.

Guest-side referrals (bookings sent by travel agencies, concierge services and corporate partners) run on a separate process and are not covered here.

What we manage

We take on residential units in Dubai for short-term rental under our own DET (formerly DTCM) holiday-home permits. A unit is only viable if it can be legally and commercially operated as a holiday home, so the qualification checks below are not a formality.

  • Apartments, townhouses and villas in Dubai available for short-term letting.
  • Owner willing to sign a management agreement with Deluxe Holiday Homes.
  • Building and community rules that permit holiday-home operation.
  • Unit condition and furnishing that meet short-term rental standards, or an owner willing to bring it up to standard.
Exception. Some buildings and communities prohibit short-term rentals outright, and some developers restrict permits to their own operator. If the building does not allow it, we cannot take the unit on and no fee arises, regardless of how complete the introduction was.

Before you introduce an owner

An introduction is only valid if the owner knows about it and agrees to be contacted. Send us leads you have actually spoken to.

Duplicate or pre-existing leads do not earn a fee. If the owner or the unit is already recorded in our pipeline when your introduction arrives, the introduction is closed as a duplicate and you will be told so in writing.

How to submit the introduction

  1. Email partners@deluxehomes.com with the subject line "Owner introduction — [partner name] — [building or community]".
  2. Include the owner's full name, mobile number, email address and preferred language.
  3. Include the property details: building or community name, unit number or unit type, bedroom count, size, floor, furnished or unfurnished, and parking availability.
  4. State the availability date and whether the unit is currently vacant, tenanted or owner-occupied.
  5. Attach or state your reference: your agency name, RERA/brokerage details where applicable, and the name of the individual consultant handling the lead. A signed partnership agreement and NDA must be in place before we register an introduction. We need your trade licence, RERA registration and the consultant's broker card (for brokers), and the Emirates ID or passport of the authorised signatory and of the consultant handling the lead.
  6. Send photos or a floor plan if you have them — they speed up assessment but are not mandatory.
  7. Wait for our written acknowledgement. The introduction is registered from the timestamp of our acknowledgement, not from the time you sent it. We aim to acknowledge within 1 working day.
  8. Introduce us to the owner by email or WhatsApp once we acknowledge, so the first conversation happens with you visible on the thread.

If you need to reach us urgently about a live introduction, call or WhatsApp +971 (4) 392-0202. In an emergency, contact local emergency services first.

What we do next

StageWhat happens
RegistrationWe log the owner and unit against your partner record and confirm in writing whether the lead is new or a duplicate.
QualificationWe check ownership, building permission for short-term rental, DET (formerly DTCM) permit eligibility, unit condition and expected performance.
Owner discussionWe contact the owner, present the management proposal and answer their questions on onboarding, reporting and payouts.
DecisionWe either issue a management agreement, or decline the unit and tell you why.
OnboardingSigned agreement, permit application, photography, listing setup and handover of keys and access.
LiveThe unit goes on sale and starts taking bookings.

We will keep you informed of the stage your introduction has reached. We do not share the commercial terms agreed with the owner, and we do not disclose owner financials to you.

When the introduction fee becomes payable

An introduction fee is earned only when all of the following are true.

  • You submitted the introduction and we acknowledged it in writing as a new lead.
  • The owner signed a management agreement with Deluxe Holiday Homes.
  • The unit completed onboarding and went live for bookings.
  • There is no minimum period: the fee accrues month by month while the unit is under our management, and simply stops if the unit leaves management.

The fee itself, how it is calculated and when it is paid are set out in your partner agreement.

  • Fee basis and amount: 5% of the rental income generated by the referred property, excluding taxes, paid monthly for the first 12 months after the property is onboarded, per unit.
  • VAT treatment: the introduction fee is quoted exclusive of VAT; if you are UAE VAT-registered, add 5% VAT and show your TRN on the invoice.
  • Introduction validity period: 6 months from our written registration; if the owner signs within that window, the fee runs for the first 12 months of that first management agreement.
No fee is payable where the owner declines, the unit is rejected at qualification, the building prohibits short-term rental, or the owner signs with us through a different partner whose introduction was registered first.

Invoicing us

  1. Wait for our written confirmation that the fee has been earned — this confirms the unit is live and states the amount due.
  2. Issue your invoice to Deluxe Holiday Homes quoting our introduction reference and the unit address.
  3. Email the invoice to accounts@deluxehomes.com together with your bank details.
  4. Invoice Deluxe Holiday Homes Rental LLC, Office 701, Code Business Tower, Al Barsha 1, Dubai, UAE, and send it to accounts@deluxehomes.com.

Invoices sent before we confirm the fee is earned will be returned unpaid.

Keeping the relationship clean

Once a unit is under management, the owner deals with us directly on operations, reporting and payouts. Landlord payouts are made on the 15th of each month, or the next working day if the 15th is a non-working day, covering the previous month. Owners are given access to the owner portal for their statements and property details.
