Getting paid: invoicing, VAT and payout cycle

How and when partner commission is confirmed, whether we self-bill or you invoice us, how UAE VAT is treated, and when and how payouts are made.

Do

  • Give us your TRN, or written confirmation that you are not VAT-registered, before your first invoice.
  • Tell us in writing within 7 days if your VAT registration status, TRN, legal name or place of establishment changes.
  • Keep your trade licence copy with us current — we cannot pay against an expired licence.
  • Keep copies of statements, invoices and remittance advices for the period required under UAE law — 5 years.
  • Reconcile each remittance against the statement it settles and flag shortfalls within the query window.
  • Ensure the booking or referral reference is captured at the time of booking — unreferenced bookings cannot be attributed retrospectively.

Don’t

  • Do not invoice for pending or unconfirmed commission.
  • Do not combine multiple statement periods on one invoice.
  • Do not vary the amount from the statement — if you disagree, raise a query first and invoice the agreed figure afterwards.
  • Do not issue your own invoice if you are on self-billing; duplicate documents delay the whole run.
  • Do not change bank details by email alone (see below).

This article explains the commercial back office of your partnership with Deluxe Holiday Homes: when a commission becomes payable, how the paperwork is raised, how VAT is handled in the UAE, and when the money reaches your account. It applies to travel agencies, concierge services, corporate partners and real estate brokers working with us on a referral or reseller basis.

Your signed partner agreement takes precedence over this page in the event of any conflict. Rates and any bespoke terms are set out there, not here.

When commission is earned and confirmed

Commission moves through three states. Only confirmed commission is invoiced and paid.

StateWhat it meansPayable?
PendingThe booking or introduction is attributed to you but the stay has not completed, or the owner contract has not commenced. No
ConfirmedThe qualifying event has occurred and the payable amount is locked.Yes
ReversedThe booking was cancelled, refunded, charged back, or the referral did not convert. No — and reversed against future statements if already paid

The qualifying event that moves commission from pending to confirmed differs by partner type:

  • Guest-side partners (travel agencies, concierge, corporate, OTA-style referrals): commission is confirmed when the guest has checked out after a completed stay and the full accommodation amount has been collected and cleared
  • Landlord-side partners (real estate brokers referring owners): when the owner has signed the management agreement and the unit is onboarded, DET-licensed and live for bookings

Commission is calculated on net accommodation revenue — excluding VAT, the Tourism Dirham and government fees, security deposits, cleaning and linen charges, extras, processing fees and any discount or goodwill given — at the rate stated in your partner agreement.

Cancellations, no-shows, refunds and chargebacks reverse the associated commission. If the reversal happens after payout, the amount is deducted from your next statement, or invoiced back to you if no further statement is due.

Your commission statement

We issue a commission statement covering each period. It is the source document for the invoice — check it before anything is raised.

  • Statement period and issue date
  • Booking or referral reference, guest or owner name, property
  • Stay dates or contract commencement date
  • Commissionable base per line
  • Commission rate and amount
  • Reversals and adjustments carried from earlier periods
  • Net amount payable

Statements are issued monthly, on or before the 10th, for the previous calendar month.

Query window

  1. Review the statement line by line on receipt.
  2. Raise any dispute in writing to partners@deluxehomes.com within 14 calendar days of the statement date, quoting the statement number and the affected booking references.
  3. Undisputed lines proceed to invoicing and payment on the normal cycle — a query on one line does not hold the rest of the statement.
  4. We respond and, where an adjustment is agreed, apply it to the current or next statement.
Statements not queried within the window are treated as accepted and are not reopened.

Self-billing or partner invoice

Which route applies to you is set in your partner agreement. Do not assume — confirm before your first statement.

RouteWho raises the documentWhat you do
Self-billingDeluxe Holiday Homes raises a self-billed tax invoice in your name on your behalfCheck it, confirm your details are current, do not issue your own invoice for the same amount
Partner invoiceYou raise a tax invoice on usMatch it exactly to the statement, quote the statement number, send to the address below

If you invoice us

Send the invoice to accounts@deluxehomes.com with the statement number in the subject line. It must show:

  • Your full registered legal name and trade licence details
  • Your registered address and country
  • Your TRN (Tax Registration Number) if you are VAT-registered in the UAE, or a clear statement that you are not registered
  • Our full legal entity name and address as the recipient — Deluxe Holiday Homes Rental LLC, Office 701, Code Business Tower, Al Barsha 1, Dubai, UAE
  • Invoice number and invoice date
  • The statement number and period being invoiced
  • Description of services (commission for the stated period)
  • Net amount, VAT amount and rate (or the applicable zero-rating / out-of-scope note), and gross total
  • Currency
  • Your full bank details, matching the beneficiary account we hold on file

VAT treatment in the UAE

VAT treatment depends on where your business is established and whether you are registered for VAT in the UAE. The general framework is below, but the correct treatment for your specific arrangement is stated in your partner agreement.

Your statusTreatment of your commission
UAE-established and VAT-registeredStandard-rated at 5%; your TRN must appear on the invoice
UAE-established, not VAT-registeredInvoice without VAT, with a written confirmation of non-registration on file
Established outside the UAEOutside the scope of UAE VAT, so no UAE VAT on your invoice; we need your home-country registration and a declaration that you have no UAE establishment
An invoice showing VAT without a valid TRN, or showing the wrong treatment for your status, will be rejected and returned. Payment restarts on the next cycle after a corrected invoice is received.
Exception. Tourism Dirham, DET (formerly DTCM) fees, municipality fees and any statutory charges collected from guests are not commissionable and are excluded from the VAT calculation on your commission.

We do not give tax advice. If you are unsure of your obligations under UAE VAT law, take advice from your own tax adviser or the Federal Tax Authority.

Payout cycle

ItemDetail
Payment runThe 25th of each month, or the next working day if the 25th is a non-working day
Period coveredCommission confirmed in the previous calendar month
Payment termsWithin 30 days of a valid invoice
Cut-off for invoicesInvoices received by the 20th are paid in that month's run
Minimum payout thresholdAED 500 — balances below it roll forward to the next run

Invoices that arrive after the cut-off, or that are returned for correction, roll into the following run.

Payment methods and currency

  • Bank transfer to your registered business account — local UAE transfer as standard, international (SWIFT) transfer by agreement
  • Settlement currency: AED by default; USD by written agreement for partners established outside the UAE
  • Conversion and correspondent bank charges: you bear currency conversion and intermediary bank charges; we pay only our own bank's fee

We pay to a business account in the same legal name as the invoicing entity. We do not pay commission to personal accounts or to third parties.

Changing your bank details

  1. Send the change request in writing from your registered contact email to partners@deluxehomes.com.
  2. Attach a bank letter or account confirmation on the bank's letterhead showing the account name, number, IBAN and SWIFT.
  3. Expect a verification call back to a phone number already on our file — answer it, or the change will not be processed.
  4. Allow 5 working days for bank-detail verification before the next payment run; changes received later apply to the following run.
We will never accept a change of bank details by email alone, and we will never ask you to redirect a payment at short notice. If you receive such a request appearing to come from us, do not act on it — call us on +971 (4) 392-0202 to verify.
