Do
- Register the referral before the client contacts us.
- Pass the client's correct full name and contact details — attribution is matched on those details.
- Obtain the client's consent to share their contact details with us before you send them.
- Describe our properties, rates and terms accurately, using current information supplied by us.
- Tell corporate and landlord clients that they are being introduced to Deluxe Holiday Homes and that we will contact them directly.
- Keep your tracked link and referral code confined to your own channels.
Don’t
- Do not promise rates, upgrades, early check-in, late check-out, discounts or waivers on our behalf — early check-in and late check-out are subject to availability and require written confirmation from our operator, and a charge of up to one night may apply.
- Do not advertise our properties or your code on discount, coupon or cashback sites, or bid on our brand name in paid search, without our written permission.
- Do not modify, shorten or re-brand your tracked link.
- Do not register a client you have not actually introduced, or submit a client already dealing with us.
- Do not present yourself as Deluxe Holiday Homes, or contract with the client in our name.
- Do not list our properties on any platform under your own account without a written agreement with us.
Attribution is what makes a referral yours. If a booking or an owner signs with us and there is no attribution record against your account, there is nothing to pay against. This article sets out the three accepted methods of registering a referral, the order in which they are applied, and how to track a referral once it is in our system.
The same process applies whether you are sending us guests (travel agency, concierge service, corporate client) or landlords (real-estate broker, property consultant). Where the two differ, it is flagged below.
The three ways to register a referral
| Method | Best for | How attribution is captured |
| Tracked link | Direct-to-consumer traffic, websites, newsletters, social | Automatically, when the client opens the link and books in the same browser |
| Referral code | Phone and messaging enquiries, printed material, concierge desks | Manually, when the client quotes the code before the booking is confirmed |
| Written referral | Corporate accounts, owner/landlord introductions, high-value or complex enquiries | By email to partners@deluxehomes.com, before we make contact with the client |
Use the method that matches how the client actually reaches us. A tracked link is the most reliable because it needs nothing from the client and nothing from our team.
Register a referral
- Confirm your partner account is active and that you have been issued your tracked link and referral code. If you do not have them, request them from your partner contact or email partners@deluxehomes.com.
- Decide the method. If the client will book online themselves, send the tracked link. If they will call, message or walk in, give them the referral code. If it is a corporate account or a landlord introduction, send a written referral.
- For a tracked link: send the client your full link, unaltered. Do not shorten it, rewrite it or strip parameters — the tracking is carried in the link itself.
- For a referral code: give the client the code in writing (message or email) and tell them to quote it at the first point of contact with us, before the booking is confirmed.
- For a written referral: email partners@deluxehomes.com with the client's full name, contact number or email, the property or area of interest, indicative dates or requirement, and your partner name and code. Send it before we speak to the client.
- Wait for our acknowledgement. A written referral is only registered once we reply confirming it has been logged against your account. Keep that reply.
- Track the referral through your partner reporting (see below) and follow up with us if the status has not moved.
- Keep your own record of when and how you introduced each client. It is the first thing we ask for if attribution is ever queried.
How long attribution lasts
Attribution is not permanent by default. It runs for a defined window from the moment it is captured.
- Tracked link: attribution is captured in the client's browser.
- Referral code: attribution is captured when the code is quoted.
- Written referral: attribution runs from our acknowledgement email.
- Landlord referrals: a registered owner introduction stays attributed to you for 6 months from our written registration; if the owner signs within that window, the fee runs for the first 12 months of that first management agreement.
When two partners claim the same client
Conflicts are resolved on the record, not on the conversation. We apply, in order:
- Whether the client was already an existing client or active enquiry of ours — in which case no partner attribution applies.
- The earliest registered attribution on file: a timestamped tracked-link visit, a code quoted at first contact, or an acknowledged written referral.
- Where records are equal or unclear, the partner whose registration we acknowledged first in writing wins; the Business Development Manager decides, and the decision is final.
Raise any dispute in writing to partners@deluxehomes.com within 30 days of the booking confirmation or the owner contract date, with your evidence attached.
Checking the status of a referral
- Ask your account contact at partners@deluxehomes.com for your referral status report.
- Locate the referral by client name, referral code or date of registration.
- Read the status against the definitions below.
- If a status has not changed within 5 working days, contact us with the client name and the date you registered the referral.
| Status | What it means | What you should do |
| Registered | We have logged the referral against your account but have not yet engaged the client. | Nothing. Let us make contact. |
| In progress | We are in active discussion with the client. | Support only if we ask. Do not re-quote or re-negotiate on our behalf. |
| Confirmed | A booking is confirmed, or an owner has signed with us. | Nothing. It moves to commission processing. |
| Stayed / active | The guest has completed the stay, or the property is live under management. | Nothing. Commission becomes payable per your agreement. |
| Cancelled | The booking was cancelled or the owner did not proceed. | Check whether the client may return; re-registration may be needed. |
| Not attributed | No valid attribution record was found, or the client was already known to us. | Raise it in writing with your evidence if you disagree. |
Commission calculation, rates and payment timing are governed by your partner agreement and are not covered here.
Your obligations when referring
Regulatory note
All our units are licensed holiday homes operated under DET (formerly DTCM) regulations. Guest registration, identification and the terms of stay are handled by us directly and cannot be delegated to a partner. Where you market our properties, your material must not misstate the licensing status, the operator or the terms of stay.
Before you send a referral
- Your partner account is active and your code and tracked link are current.
- The client has consented to their details being shared with us.
- The client's full name and a working contact number or email are recorded.
- The correct method has been used for the channel (link, code or written referral).
- For a written referral, you have our acknowledgement email on file.
- You have logged the date and method of introduction in your own records.
