Do

  • Give us as much notice as you can, so we can obtain the guest's consent and agree a window with them. At least 48 hours for planned work in an occupied unit, and 24 hours for any other access slot.
  • Accept that a confirmed slot can be moved or cancelled at short notice if the guest withdraws consent or their plans change.
  • Attend with the smallest team that can do the job, and keep to the agreed duration.
  • Work only in the area covered by the approved scope, and treat everything you see in the unit as confidential.
  • Protect floors, furniture and finishes before starting, and remove all packaging, offcuts and waste when you leave.
  • Wear company uniform or visible company ID at all times inside the building.
  • Follow the building's rules on working hours, noise, service lift use, waste disposal and smoking.
  • Report any damage, defect or safety issue you find — including damage that was already there — to our representative before you leave.
  • Report anything you break immediately and in writing.

Don’t

  • Do not contact the guest directly, by any channel, to arrange or reschedule access.
  • Do not accept a guest's verbal invitation to enter without a slot confirmed by our operations team.
  • Do not photograph the guest, their belongings or any part of the unit beyond the work area and the completed job.
  • Do not move, use or consume anything belonging to the guest or to the property.
  • Do not bring unnamed personnel, family members or observers to site.
  • Do not use the guest lifts or main lobby for tools, materials or waste where a service route exists.
  • Do not leave tools, materials or waste in corridors, stairwells or common areas.
  • Do not park in guest or resident bays; use the building's designated contractor parking.
  • Do not post images of our properties, guests or landlords on social media or in marketing material.

This article is for commercial partners who supply services to Deluxe Holiday Homes properties, or who send a third-party contractor to a unit we manage — maintenance and technical trades, cleaning and laundry, pest control, AV and IT, furniture and fit-out, photography, valuation and inspection, and similar. It sets out how you are approved as a supplier, what documentation we hold on file, and how access to occupied and vacant units is requested, scheduled and supervised.

Two principles apply throughout. First, no one enters a managed unit without a scheduled, approved access slot. Second, every attendance is supervised or explicitly authorised by our operations team — we do not release keys, access cards or door codes to suppliers for unsupervised use.

Who needs to be an approved supplier

  • Any company invoicing Deluxe Holiday Homes for goods or services delivered at a managed property.
  • Any contractor engaged by you (as agency, concierge, corporate client or broker) whose work requires physical entry to a unit we manage.
  • Any contractor engaged directly by a landlord where the unit is under our management and the work touches the apartment, its contents or the building.
  • Subcontractors of an approved supplier — they must be declared and named in advance; approval does not cascade automatically.
Exception. Building-appointed contractors acting under the owners' association or developer (for example a lift or fire-system contractor attending common areas or a scheduled building-wide service) are governed by the building's own access rules. We still need advance notice where they will enter a unit we manage, so we can protect an in-house guest.

Documents we require before approval

Submit the full set in one email. Partial submissions are not queued; we open a supplier file only when the pack is complete.

  • Valid UAE trade licence covering the activity you will perform, in the name of the invoicing entity.
  • Establishment card / company registration details as applicable to your licence type.
  • Emirates ID and passport copy of the authorised signatory, plus a signed authority to act on the company's behalf.
  • VAT registration certificate (TRN) if you are VAT-registered, or a written statement that you are not.
  • Bank account details on company letterhead, stamped and signed, in the name of the invoicing entity.
  • Public liability insurance certificate, in force, showing insurer, policy number, period and limit of indemnity.
  • Workmen's compensation cover for all personnel attending site.
  • Professional indemnity cover where the service is advisory, design or certification-based.
  • A named list of the personnel who will attend our properties, with Emirates ID copy and a recent photograph for each.
  • Trade certifications and technical approvals where the work is regulated — for example electrical, gas, refrigerant handling, fire systems, pest control.
  • Signed copy of our supplier terms and, where applicable, our confidentiality and data-handling undertaking.
An expired trade licence or lapsed insurance certificate suspends supplier status immediately. Suspended suppliers are removed from the access schedule and any booked attendance is cancelled until the renewed document is received. Invoices raised for work performed while suspended may be withheld.

How the process runs

  1. Send your onboarding pack to info@deluxehomes.com with the subject line "Supplier onboarding — [company name] — [service category]". Attach every document listed above as separate, legible PDFs.
  2. We review the pack and confirm receipt. If anything is missing or unreadable, we tell you what to resupply; the file stays open but inactive until it is complete. We aim to complete the review within 5 working days of a complete file.
  3. We complete our checks, agree commercial terms with you in writing, and countersign the supplier agreement. Nothing is binding until both parties have signed. Fixed at onboarding: your rate card, payment terms (30 days from a valid invoice) and the spend authority — jobs above AED 500 need a written job order before work starts.
  4. We register your named personnel and issue you a supplier reference. Quote this reference on every access request and every invoice.
  5. For each job, submit an access request naming the unit, the scope of work, the exact personnel attending, the equipment being brought in and the expected duration. Send it by WhatsApp or phone to the operations line on +971 (4) 392-0202, quoting your supplier reference; documents and commercial questions go to info@deluxehomes.com. There is no supplier portal.
  6. We check the unit's occupancy and issue a written access slot: date, arrival window and the name of the Deluxe Holiday Homes representative who will meet you. No slot, no entry.
  7. Attend at the confirmed time with company ID and Emirates ID for every person named. Our representative admits you, remains responsible for the unit throughout, and closes the unit at the end.
  8. On completion, hand over any parts, warranty documents and photographs of the finished work to our representative, and confirm the unit is left clean and usable.
  9. Invoice against the job reference and the agreed terms. Invoices without a job reference are returned. Invoice Deluxe Holiday Homes Rental LLC and email it to accounts@deluxehomes.com, quoting the job reference and your supplier reference, with the countersigned attendance record and before-and-after photos attached. Payment terms: 30 days from a valid invoice.

Access to occupied units

An occupied unit is a guest's home for the duration of their stay. Access is treated as an exception, not a routine, and is arranged around the guest rather than around your schedule.

Unannounced attendance at an occupied unit is treated as a serious breach. It exposes the guest, the landlord and us, and it is grounds for immediate removal from our approved supplier list without further notice.
Exception. Genuine emergencies — fire, flood, gas smell, structural risk, loss of power or water to the unit — override the notice process. In an emergency, contact local emergency services first, then call us on +971 (4) 392-0202. We will arrange immediate access and deal with the paperwork afterwards.

Access to vacant units

Vacant units are easier to schedule but the supervision rule is unchanged. Vacancy windows are short and turnover work is sequenced tightly, so a missed slot usually means waiting for the next gap between stays rather than a same-day reschedule.

  • Access slots are issued against a specific date and arrival window, not an open day.
  • Our representative admits you and secures the unit afterwards. Keys, access cards and building fobs are not handed over. No supplier category may collect keys, cards or codes from an office or key safe — every attendance is admitted and supervised by our representative, without exception.
  • Long or multi-day works are booked as a block against a confirmed vacancy and must be agreed in writing before you mobilise.
  • Any work that alters the unit — drilling, plumbing changes, electrical alterations, changes to fixed furniture — needs the landlord's written approval routed through us, plus any building permit the owners' association requires.
  • Building access, loading bays, service lifts and works permits are arranged with the owners' association or building management. We will tell you what the building requires; obtaining the permit is your responsibility. You pay the building's works-permit fee and any refundable deposit, include the fee in your quote, and keep the deposit when the building returns it.

Conduct on site

Our properties sit in residential buildings with strict house rules, and our licence to operate them depends on how we behave in those buildings. Your personnel are held to the same standard as ours.

Compliance and record-keeping

We operate holiday homes licensed by DET (formerly DTCM), and we are audited on how our properties are run and who has access to them. That is why the documentation and the access log are non-negotiable.

  • Keep your licence, insurance and personnel list current with us; send renewals as soon as they are issued rather than waiting for us to chase.
  • Tell us in writing within 7 days if your licence activity, insurance cover, authorised signatory or bank details change.
  • Personal data you see in a unit or on a job sheet is confidential and must not be copied, retained or shared.
  • We keep a record of every attendance — unit, date, personnel, scope and outcome — and may ask you to countersign it.
